Ensuring Employee TINs Are Correct in Your APIT Annual Statements

      March 31, 2026

Ensuring Employee TINs Are Correct in Your APIT Annual Statements

For many businesses in Sri Lanka, managing payroll and tax compliance has become more detailed in recent years. One important requirement employers must now pay close attention to is including accurate TIN (Taxpayer Identification Number) details for employees when submitting the APIT Annual Statement.

If your organization deducts APIT (Advance Personal Income Tax) from employee salaries, ensuring that each employee’s TIN is correct and properly recorded is essential. Incorrect or missing information can lead to delays, rejected submissions, and difficulties for employees when claiming tax credits.

This article explains why employee TIN accuracy is important and what employers should do to ensure their APIT Annual Statements are submitted correctly.

What Is the APIT Annual Statement?

APIT (Advance Personal Income Tax) is the tax deducted by employers from employees’ salaries based on the applicable tax rates. Employers must:

      1. Deduct the correct amount of tax from employee salaries.

      2. Remit the tax to the Inland Revenue Department.

      3. Submit the APIT Annual Statement with employee details.

This statement provides the IRD with information about:

      • Employees who paid APIT

      • Total income earned

      • Taxes deducted during the year

It helps ensure transparency and proper tax reporting.

New IRD Requirement on Employee TIN Numbers

According to the latest notice issued by the Inland Revenue Department (IRD), an important requirement has been introduced regarding employee tax information.

From the Year of Assessment 2025/2026, employers are required to include the TIN (Taxpayer Identification Number) of each employee when submitting the APIT Annual Statement.

This means that the employee’s TIN must be included in the relevant schedules when submitting the APIT return through the RAMIS system.

If the required details are missing, the system may reject the submission, which can delay the reporting process.

      Why Accurate Employee TINs Matter

Recent IRD requirements have increased the importance of including correct TIN numbers for employees when submitting APIT statements.

Here are some key reasons why accuracy matters.

      1. Avoiding Rejected Submissions The APIT Annual Statement is submitted through the RAMIS system. If employee information is incomplete or incorrect, the system may reject the submission.

Missing or incorrect TIN numbers can therefore cause delays in completing the submission process.

      2. Ensuring Employees Receive Their Tax Credits Employees may claim the tax deducted from their salaries when filing their individual income tax returns.

If the TIN included in the APIT statement is incorrect or missing, the IRD system may not properly link the tax payment to the employee. This could create difficulties when the employee attempts to claim their tax credit.

      3. Maintaining Proper Tax Compliance Employers have a responsibility to maintain accurate records and comply with tax reporting requirements. Ensuring employee TIN details are correct helps demonstrate that the company is following proper compliance procedures.

Good compliance practices also reduce the risk of administrative issues with tax authorities.

Steps Employers Can Take to Ensure Accuracy

To avoid errors and ensure smooth APIT submissions, businesses should adopt a few practical steps.

      1. Verify TIN Numbers During Recruitment When hiring new employees, it is helpful to request their TIN number as part of the onboarding process. This ensures that payroll records are complete from the beginning.

      2. Encourage Employees to Register for a TIN If an employee does not yet have a TIN, employers can encourage them to register with the Inland Revenue Department and obtain one.

      3. Conduct a Review Before Submitting the APIT Statement Before submitting the APIT Annual Statement, it is a good practice to conduct a final review of employee details. This helps identify missing or incorrect information before uploading the data to the RAMIS system.

      Final Thoughts

As tax reporting systems continue to become more structured and digital, businesses need to pay closer attention to employee tax details. One of the key steps in this process is ensuring that all employee TIN numbers are correctly recorded in APIT Annual Statements.

Taking the time to verify TIN information, update payroll records, and review employee details before submission can help companies avoid errors, prevent delays, and support smoother tax compliance. For many businesses, working with experienced professionals can make payroll and tax management easier.
